Guidelines
Important information about the Congress
Chairs
Chairs will be assigned by iHEA through an on-line volunteer process. Chairs will be responsible for ensuring that presenters keep to time and the questions are allocated fairly.
Length of Sessions:
All regular sessions (discussed, oral & organized) are 1 hour and 15 minutes in length.
Organized Sessions
The format of these sessions has been determined by the session organizer(s).
Oral Sessions
4 papers with no discussants.
Suggested time: 15 minutes per paper, 15 minutes for general questions
Discussed Sessions:
3 papers each with a discussant. Discussants will be assigned by iHEA though an on-line volunteer process (although if you would like to recommend someone who is willing to attend and do this please let us know). Papers to be discussed MUST be provided to the discussant by June 10, 2011, unless you have made other arrangements with them in advance.
Suggested time: 15 minutes per paper, 5 minutes per discussant, 15 minutes for general questions
Short-Oral + Poster
Poster dimensions must fit within 1 meter tall x 1 meter wide (3.28 feet x 3.28 feet) area.
All poster presenters will have an opportunity to make a short 5-minute presentation of their material at one of two assigned areas. This will occur throughout the conference schedule from 8:00 AM to 4:30 PM on Monday, Tuesday or Wednesday. Slides will be strictly limited to 5. Once the on-line program is official we will open the system to allow registered and paid short-oral presenters to select their own day and time for their poster and short-oral (these will be on the same day)
Submission Fees
All submitters are required to pay a submission fee of $125, however, 2010 iHEA members in good standing will have that fee waived (a 2011 membership is not sufficient to have the submission fee waived).
Note that
(a) the presenter in individual submissions (ie. a presentation that is not part of an organized session) is responsible for the submission fee or 2010 membership and
(b) the submitter of organized sessions is responsible for the submission fee or 2010 membership (individual participants of an organized session are not required to pay the submission fee).
Registration Requirements
All accepted individual abstract presenters are expected to register and pay by the deadlines listed on the congress web site. All participants within organized sessions are expected to register and pay by the deadlines listed on the congress web site.
Failure to register by the deadlines can result in being removed from the conference program. If you are part of a session, be aware that a session can be removed from the program if participants in the session are not registered by the deadline.
Scholarships
iHEA has LIMITED funds to support developing region scholarship applicants. An application process will be made available. Acceptance of an individual abstract does not imply that iHEA will provide attendance scholarships for developing region attendees. Inclusion of a developing region participant in an accepted proposal does not imply that iHEA will provide attendance scholarships. Students of iHEA University Members have access to a student scholarship stream.
Other Notes on Sessions
The organizers must ensure that they have AGREEMENT from all participants to take part in the session before the proposal is submitted. The Session Organizer will be the main contact with iHEA for the session. All participants within organized sessions are expected to register and pay by the deadlines listed on the Congress website.
Organizers should seek funding for any developing region session participants from their own sources or contacts.
Number of Presentations per Presenter
As demand for oral presentations is very high, iHEA limits the number of oral presentations for each presenter during the initial program development. Session organizers should keep this in mind when selecting presenters who may have multiple obligations.
