Exhibit Move in & Move Out (draft)

BICC will be available for set up of exhibits on:

  • July 11 08:00 – 17:00

Exhibit set up personnel are asked to check in with the IHEA conference registration desk to gain access to their exhibit materials. Those arriving with their exhibits are asked to check in at the registration desk before proceeding to the exhibit area. Upon completion of move in, exhibitors are asked to return all shipping materials to the holding area.

Exhibitors may begin breaking down and packing their exhibits for Move Out on July 15 between 12:00 – 17:00. Those exhibitors shipping their goods back to origin are asked to have their packages returned to the holding area, suitably packaged and labeled for transport. Exhibitors are responsible for making their own shipping arrangements to and from the BICC. All arrangements for transportation out of the BICC should be set for a July 16 pick up.


Exhibitor Registration Closing Date

All exhibit space registration closes on June 30. To register, contact Christopher Martin at membership@healtheconomics.org or 902-461-4432.

All exhibit staff must be registered no later than July 10. Individuals who have not already registered are asked to do so on our online Registration System once they have contacted Christopher Martin. Exhibit & individual registrations will then be completed.

Exhibit Representatives

Each person assigned to staff an exhibit is required to be registered separately as an exhibitor or as a full attendee. Exhibition space registration does include the registration of one exhibit staff only. Each standard booth (10X10FT) registration provides the exhibitor with: 1 name badge, access to all social functions, lunches, break food and social receptions. Please note that an exhibitor registration does not include access to any of the scientific meetings.


Shipping & Receiving

Exhibitors are solely responsible for arrangements with a shipping/courier company of their own selection. All advance shipments may be received at the BICC between July 9 & July 10 (BICC may subject to charge certain fees). All pieces should be clearly marked as for the 7th IHEA Congress, and should show the number of pieces. At the time of breakdown exhibitors will be responsible for the return of all pieces to the holding room. Exhibitors will be responsible to make their own shipping arrangements for pick up at the BICC on July 16. All pieces should be properly labeled with bills of lading and include the total number of pieces.

Special Requirements

Anyone having any special requirements, such as electricity, should indicate this requirement at the time of registering. Additions to booth and table registration, such as electricity, will be provided on a cost per item basis.


Cancellations and changes

  • Cancellations or changes made before 31st March 2009 will not be charged any fee.
  • Cancellation or changes made before April 30th are subject to a 100RMB handling fee.
  • Cancellations or changes made 15 days before are subject to at least 300RMB handling fee.
  • Cancellations or changes made within 15 days of the check-in date are subject to a 100% Cost of Stay penalty.
  • For Cancellation: Cancellation requests can be made online. The cancellation process usually takes no more than 5 working days.

  • The earliest check-in time is 14:00, the latest check-out time is 12:00 noon.
